Description
Record keeping matters. It is an essential aspect of maintaining compliance, protecting public health; and preserving trust, system reliability and emergency readiness. This workshop will review different types of records and their uses while also providing insight into best practices for common issues. You’ll learn how to immediately apply these practical lessons into your workplace.
Types of Records:
- Daily operational logs
- Maintenance and repair logs
- Sampling and testing records
- Chemical usage logs
- Incident and emergency reports
- Operator training/certification records
- Regulatory and compliance requirements (ISC, WSA, Guidelines for Canadian Drinking Water Quality, local/regional regulatory differences, retention times and documentation expectations)
Best Practices:
- Accurate records
- Writing standards and correcting errors
- Secure storage and data backup
- Consistency in entries
- Digital vs. paper records
- Common mistakes and how to avoid them
- Missing or incomplete data
- Backdating or future-dating logs
- Unclear handwriting
- Untrained staff making entries
The workshop will also share how record keeping plays a role in emergency response, including using logs as early warning tools, supporting boil water advisories and investigations; and communicating with regulators, leadership and the public.
